Kaltura Media Retention Policy

 

Kaltura is the video streaming service integrated with Canvas that allows you to create, store, organize and share media with your classes.  Faculty, staff and students have made great use of the platform, with over two million minutes of media content over the last two years.  Yet, Kaltura is not intended for long-term storage of media that are not in use. The media retention policy ensures we remain vigilant in Kaltura storage management by removing unplayed media to keep our usage within our storage quota.

Auto Deletion Process

 

What’s affected: Media that hasn’t been played for at least 20 seconds in the past two years.

 

Starting May 1, 2022, media that has not been played in the last two years will be flagged for deletion, through an automated process. On the first of the month, the process will identify media to be deleted 28 days later.  Media owners will be notified on the 1st of the month through email of the content scheduled to be deleted.  Media owners can save media from deletion by  removing the content from the to be deleted list or downloading the content before deletion.  Content creators can reach out to their IT Support Specialist for guidance on long term storage options.

 

For example, on May 1 media owners will receive a list of media to be deleted on May 28.  These are videos that have not been played for the last two years.  The owner sees a video on the list they wish to remain on Kaltura.  They visit their My Media in Canvas and play the video for at least 20 seconds.  This video will now be removed from the to be deleted list for May 28 and remain on Kaltura for at least another 2 years.  Come May 28, the other videos on the list will be deleted.

How do I take a video of the to be deleted list?

 

  • Play the video for at least 20 seconds.  This will update the Last Played date and remove the video from the list of media to be deleted.

 

How do I download a video to my computer?

 

  • To download a video, log into Canvas, select My Media.  Click on the video you wish to download and choose Edit.  You will see a download icon in the upper right corner of the video screen.  Step by step directions can be found here.
